A meeting agenda is the document that structures a meeting ahead of time: it lists the topics to cover, in order, with time allotted to each. Its purpose is simple: give everyone a clear direction before the meeting even starts.
The essential elements of a meeting agenda
A good meeting agenda, regardless of the meeting type, generally includes:
- The meeting title to identify the topic at a glance
- Date, time, and location (or video call link)
- The meeting’s objectives that define what you want to concretely accomplish
- The list of participants and their role in the discussion
- Discussion points, presented in the order they’ll be covered
- Time allotted to each point to keep the meeting on track
- An open questions / miscellaneous section at the end

- Send the agenda in advance: ideally 24 to 48 hours ahead, so everyone shows up prepared
